This Planning Fee Agreement (“Agreement”) and the Terms and Conditions (“Terms”) at HTTPS://AYASTRAVEL.COM become effective between: Aya’s Travel Agency, LLC (“Agency”) and you (including all travelers on the same booking) (“you” or “Traveler”) upon your signature (electronic or written), or your payment of Planning Fees, until terminated in writing by you or Agency.

CUSTOMIZED TRIP PLANNING

  • Trip planning fees (“Planning Fees”) for customized travel covers research, development of the proposal, revisions (up to max 3) to finalize a customized itinerary, booking, managing all components, and support while traveling.
  • Fees are based on the complexity of the trip.

FEES FOR CUSTOM TRAVEL PLANNING

  • We suggest one overall trip proposal.
  • Fees start at $250 for full trip planning, up to 10 days for 2 people.
  • Thereafter, we will charge additional fees of $50 per person (up to 10 days)
  • Thereafter, we will charge additional $50 per day (over the 10 days).
  • Proposals for different destinations will be charged an additional fee of $75 per destination.
  • Last minute booking fees will be subject to additional fees of $75 for trip requests within 20 days of travel—or within 60 days if travel is during a national holiday.

OCEAN AND RIVER CRUISES

  • Traveler specifies the ship and sail date for up to two cruises ……………..$50

         o   Including up to 4 cruises with a max length of 14 days
  • Additional fees are required for voyages longer than 15 days as well as back-to-back voyages
         o   Please inquire if applicable

AIRLINE RESERVATION SERVICES

  • Domestic Air Reservation ……………………………………………………….$25 per ticket
  • International Air Reservation ……………………………………………………$50 per ticket
  • Changes, Exchanges, Refunds - Domestic …………………………………. $25 per ticket + airline fee
  • Changes, Exchanges, Refunds – International ………………………………$50 per ticket + airline fee

HOTEL RESERVATION SERVICES

  • We have access to some of the world’s most distinguished premium properties.
  • Our amenity program may include VIP privileges that enable us to craft memorable and authentic experiences for you.
  • When you book with us, we make sure you feel like a VIP by upgrading your booking when possible.
  • You may receive benefits not available by direct booking or through an online booking engine.
  • These benefits often include:
        o   Complimentary Breakfast for two
        o   Upgrade (on arrival, subject to availability)
        o   Resort, Food & Beverage, or Spa credit (usually valued at $100 per stay)
        o   Early check-in/check-out (subject to availability)
  • If your hotel is not a preferred partner, we may not be able to get you additional benefits.

FOR HOTEL-ONLY BOOKINGS, PLANNING FEES ARE AS FOLLOWS:

  • $25 per room when you specify property, dates, and your desire for preferred partner amenities.
  • $75 per trip if your request requires our research (including up to 3 hotels in one location).
  • $50 if you request any hotel booking within 7 days prior to departure.
  • Urgent or time-intensive requests requiring sourcing options from an extended list of vetted options will be charged $75 per room, per hotel.

TRAIN RESERVATION SERVICES

CONCIERGE SERVICES (Optional)

  • Our Trip Planning Fees cover the logistics of the trip, and include land arrangements including hotels, trains, transfers, and scheduled activities.
  • For our Concierge services, such as restaurant or dining reservations, theater tickets, local tours or shore excursions, suggestions for self-guided activities during your leisure time, scheduling of special events, and other Concierge services, our rates begin at $25 per traveler.

CANCELATION PENALTY

  • Once under deposit, before travel/payment final due date …………............$50 per person + supplier fee
  • Change fee once under deposit after final payment date ……………….......$200 per person + supplier fee

GROUP FEES

  • Customer Group Planning ………………………………………………………$300 per group
  • Air Only Groups …………………………………………………………………. $30 per ticket

GENERAL TERMS

  • All Planning Fees are separate from the cost of your travel.
  • All Planning Fees and travel vouchers are NON-REFUNDABLE, whether or not you decide to book travel.
  • This Agreement is separate from your agreements with any travel suppliers, e.g., airlines, hotels, tour operators, cruise lines, and any other suppliers.

MISCELLANEOUS

  • Visa, Passport, Handling …………………………………………………………$25 per handling
  • Visa, Passport Application Forms ……………………………………………… $15 per form
  • Express Mail (Overnight) …………………………………………………………$50 per letter packet
  • Express Mail (Saturday or Holiday) ……………………………………………. $100 per letter packet
  • Credit Card Fees (if not direct to supplier) ……………………………………. 3.5% of charge

# Fees can be waived on bookings over $5000 or at discretion of Aya’s Travel Agency, LLC
